Workflow and Business Process Automation

Workflow and business process automation

We take repetitive, rules-based work — copying data between systems, chasing approvals, filing documents, compiling reports — and automate it reliably, using AI only for the steps that genuinely need judgement.

Covers: Workflow and Business Process Automation

What our team does

Good automation starts with understanding the process as it really runs, including the exceptions. We map it with the people who do the work, automate the predictable parts, and make every automated step visible: what ran, what failed and what is waiting for a person.

  • Process mapping

Documenting how a process works today, where time is lost, and which steps are worth automating first.

  • Document routing and filing

Classifying incoming documents, extracting key fields, naming and filing them, and notifying the right person.

  • Approval workflows

Requests, reviews and sign-offs with reminders, escalation and a full history, instead of email threads.

  • Data synchronisation

Scheduled or event-driven jobs that move and reconcile data between applications, with alerts when something does not match.

  • Automated reporting

Recurring reports generated from live data and delivered on schedule, with AI-written summaries where useful.

  • AI steps where rules are not enough

Language models for reading free text, categorising requests or drafting replies, always with a defined fallback.

Problems we help solve

  • The same data is typed into two or three systems, and errors creep in each time.
  • Approvals stall in inboxes and nobody can see where a request is waiting.
  • Weekly reports take a day to compile by copying numbers from several sources.
  • Incoming documents and emails are sorted and forwarded manually.
  • Previous automations built on macros or no-code tools break silently and nobody notices.

What you receive

  • A map of the current process and the agreed automation scope
  • Automated workflows deployed and running on agreed infrastructure
  • Error handling, retries and alerts for every automated step
  • A status view or log showing what ran and what needs attention
  • Runbooks explaining how to pause, adjust and troubleshoot each workflow
  • Source code or exported workflow definitions and documentation

The exact deliverables for your project are listed in your written proposal.

Technologies we use

We choose tools for your requirements, existing systems and the team that will maintain the result — not the other way round. Typical choices include:

  • Python
  • PHP
  • Node.js
  • Scheduled jobs and queues
  • Webhooks
  • REST APIs
  • Microsoft 365 and Google Workspace APIs
  • n8n or similar where appropriate
  • Claude API for text-heavy steps

How the process works

Every automation project follows the same transparent path. You always know what happens next and nothing is built before you have agreed the scope in writing.

  1. Step 1: Request

You describe the problem, the systems involved and any constraints in a short form. Attach documents if they help.

  2. Step 2: AI-assisted qualification

An AI assistant organises the request and flags missing details. It does not price or approve anything.

  3. Step 3: Review by our engineers

An engineer on our team reads the request, checks feasibility and contacts you with any questions.

  4. Step 4: Written proposal

You receive scope, deliverables, timeline, price and assumptions in writing — nothing is implied or hidden.

  5. Step 5: Agreement

Once you accept, we put a formal agreement in place before any build work starts.

  6. Step 6: Delivery

We build in short, reviewable increments, test against the agreed acceptance criteria and hand over.

Frequently asked questions

Frequent, rules-based tasks with clear inputs and outputs: data entry, document filing, approvals, notifications and recurring reports. Rare or highly variable tasks are often better left manual or only partly automated.

Whichever fits. Simple flows may suit a workflow tool you already license; complex, high-volume or business-critical flows are usually more reliable as custom code. We explain the trade-off in the proposal.

It retries where safe, then alerts a named person with the details, and nothing is silently skipped. Every workflow we build has a defined failure path and a way to re-run it.

Often not. Most automation is plain, predictable logic. We add AI only for steps that involve reading or writing free text, or classifying things rules cannot handle well.

The aim is to remove repetitive work, not judgement. In practice people move from copying data to handling exceptions, customers and decisions — and you decide how the time is used.
